Handing billing to an outside team stalls in the same place every time: not on price, not on process, but on five documents nobody thought to prepare.

Every onboarding we run has a week that disappears. It is almost never the work itself — it is waiting on paperwork that lives in one person’s inbox. Preparing these five before the first call routinely takes a fortnight off the start date.

The list

  1. A current chart of accounts, exported rather than described
  2. The last three months of invoices, including the ones that went wrong
  3. Your written escalation path, with names and not just roles
  4. Read-only access to the billing system, granted before day one
  5. A one-page note on the exceptions everyone in the office already knows

Documented processes describe the happy path. Write them down once and you stop relitigating them monthly.
